As multifamily owners, we kept writing checks for roofs, HVAC, parking lots, and building systems that should have lasted longer. The useful life was slipping away quietly, and by the time a manager made the call, replacement was the only option.
Condition data lived in someone's memory, a spreadsheet from two years ago, or a PDF inspection nobody reopened. We were replacing assets faster than their expected life — and the capital plan never caught up.
The expenses were just as invisible as the condition. Repairs got approved by phone, invoices landed in the wrong GL code, and nobody could tell us whether a bid was high, fair, or low for the market. Replacement reserve draws were logged after the fact, if at all. Without every expense tracked against the asset it paid for, there was no way to know what we were actually spending to keep a building standing.
We believe preserving assets and preserving capital are the same job. Document the condition, log every expense against the asset, and both become manageable. That transparency is what builds trust between ownership and management — and what protects distributions over the long run.
